Navigating HRIS Challenges with ChatGPT

A powerful way to use ChatGPT is to help in areas where we may lack the necessary expertise. I have come up with an example, based on a recent experience where a mid-size company with a brand new HR team wants to implement a new HRIS system for their workforce which, by the nature of the work, is dispersed and has no access to computers at work. The current HR team needs to implement the system but is not sure how to go about it.


You are the Project Manager implementing the new mobile HRIS system at your company, and have to divide the work among the project team members. The people in your team have different skills. In assigning project tasks to each team member, take into account their skills so as to best match skills to the tasks required. Explain why you assigned each task to each member. The tasks involved are: 1) designing the visual interface, including the colour scheme, typography, logos, icons and other graphical items. 2) Develop wireframes and prototypes to illustrate user interface and interactions. 3) Carry out user tests to validate design decisions and improve user experience. 4) Collaborate with system vendor and IT staff to ensure the HRIS system can be used smoothly in the company's network and can be accessed by all remote employees on their mobile phones. 5) Carry out user research to better understand their needs, pain points and user patterns, and develop user personas and journey maps. 6) Confirm that access to confidential data complies with all applicable privacy laws. The three team members have the following skills: Person 1 - Five years of experience in user experience and design.


Proficient in relevant design tools. Person 2 - 4 years of experience in front end development. Understands data science. Proficient in relevant data management tools and techniques. Person 3 - two years of experience in user research, surveys, interviews, user research data analysis. Understands the user side and the technical side adequately.


You will notice that the answer is very detailed and justifies the reasoning well. Of course, the more detail you provide on the tasks and the skills, the better this reply will become!


ChatGPT really excels at this type of task. Notice how it still keeps some of the humor but tones it down just enough.


 

Based on the skills and experience of each team member, here's how I would assign the tasks:

  1. Designing the visual interface: Person 1 Explanation: Person 1 has five years of experience in user experience and design, making them the most suitable candidate for designing the visual interface. Their proficiency in relevant design tools ensures they can effectively create a visually appealing and user-friendly interface. They have the necessary skills to handle the colour scheme, typography, logos, icons, and other graphical items.

  2. Developing wireframes and prototypes: Person 1 and Person 2 Explanation: Both Person 1 and Person 2 have relevant skills for this task. Person 1's experience in user experience and design makes them well-suited for creating wireframes and prototypes that align with the visual interface design. Person 2's experience in front-end development and understanding of data science enables them to implement the required functionalities and interactions effectively. Collaborating together, they can create comprehensive wireframes and prototypes.

  3. Carrying out user tests: Person 1 and Person 3 Explanation: Person 1's experience in user experience and design makes them responsible for designing the user tests and creating test scenarios. Person 3's experience in user research and data analysis makes them ideal for conducting the tests, analyzing the results, and deriving actionable insights to improve the user experience. This collaboration ensures a thorough validation of design decisions and continuous improvement based on user feedback.

  4. Collaborating with system vendor and IT staff: Person 2 Explanation: Person 2's experience in front-end development and understanding of data management tools and techniques make them the right choice for collaborating with the system vendor and IT staff. They can effectively communicate the technical requirements, ensure the HRIS system can be smoothly integrated into the company's network, and address any challenges related to remote employee access on mobile phones.

  5. By assigning tasks based on the team members' skills and experience, we can leverage their strengths and expertise to ensure efficient and high-quality project execution.
